Installation Guide and Setup Files

Once you have signed up to School Email, we will send a confirmation email and fax with a link to the setup file and full installation instructions. You can download the MIS setup file from the links below.

Simply unzip and run the client setup file on your MIS (Admin) Server and enter the username & password supplied by School Email in your confirmation email/fax.

Once you have installed the client setup file on your MIS server, your email accounts will be created on the School Email system within 24 hours (a confirmation email will be sent to your nominated email address).

The final step (if you have not subscribed to the Premium package and you have not requested the MX record transfer service when ordering) is to request your MX record transfer with your ISP.

What is an MIS?

An MIS is a management information system; the two MIS systems generally used are CMIS and SIMS.


I added a user into our school MIS but I have not received a confirmation Email

Please check you have set the user as CURRENT or on roll in your MIS.

You may not have updated the client software on your MIS server for sometime, please see the latest Installation Guide and Setup Files to update your MIS setup client (you will receive notification emails if your MIS setup client is out of date).

Finally, the process of updating MIS user names to School Email can take up to 24 hours. To send the updated MIS information instantly, please see Manually Run Auto-Update.


Manually Run Auto-Update: Instantly update SIMS data to create new School Email accounts

  1. Log onto the SIMS or CMIS server
  2. Click Start -> Settings -> Control Panel -> Scheduled Tasks
  3. Right click on School Email automatic update, then click Run.

This will send the latest list of accounts from your SIMS/CMIS server to School Email. We will then automatically create any new accounts, based on the SIMS/CMIS data. We will also send an email confirmation of any changes made.

Change your password

If you have forgotten your password, your Primary Email Administrator can use our Password Reset Tool to reset your password through the website.

If you would like to change your password and you know your current password, follow the instructions below:

  1. Login to Primary Email with your old password
  2. Click ‘OPTIONS’
  3. Click ‘CHANGE PASSWORD’
  4. Enter your username, old password and new password in the relevant boxes
  5. Click ‘Save’

Help! I am not receiving email from a trusted sender!

Steps to take when you do not receive an email:

  • Ask your Primary Email Administrator to add the sender to the Spam Whitelist. This will allow all future emails from the specified email address to bypass the Spam filter.
  • Remove all images contained within the body of the email, especially in the Email Signature (our spam filter blocks images in a email, as we don’t know what the image shows). Images sent as attachments are NOT blocked.
  • Remove any profanity contained within the email

Spam Filter Bypass Option

To bypass our spam filter, please ask your Primary Email Administrator to add your email address to the Spam Whitelist. This will ensure your webmail account is unfiltered.


Reducing mailbox size

Your mailbox quota with Primary Email depends on the package you subscribe to. If your mailbox size exceeds the limit (25Mb for Basic Customers and 100Mb for standard customers) you will not be able to send emails.

To reduce your mailbox size in web-access, simply click the Size column header when you have logged-in to your account. This will display all your large emails in order from largest to smallest.

When your emails are ordered, simply delete your large emails to free-up some space.


How do I Log in with my class of pupils?

Pupils log in as prefix.firstname.surname. The prefix is the 3 character code which is used for the shared day book, office account and distribution lists.

Pupil Login Cards

Ask your Primary Email administrator to print out a list of pupil login cards (View Example).

If the default password does not work, please ask your primary email administrator to reset the pupil password.


Using school distribution lists

Distribution lists are created to allow users to email a full class, a full school, all teachers within a school or a customised list of email address, which can be used for emailing parents, governors etc.

  1. Find out your school’s 3-character prefix code. This is usually the first three letters of your school’s name e.g. Bebbington Primary School will have the prefix beb.
  2. Create a new email and in the To: field, enter the following syntax:
    • To email your class: prefix.classname@primaryemail.co.uk
    • To email the whole school: prefix.fullschool@primaryemail.co.uk
    • To email all teachers at school: prefix.teachers@primaryemail.co.uk

Nothing happens when I click ‘new’ email

I cannot open an attachment

Each of the three problems are caused when Internet explorer or your web browser is blocking pop-ups.

Step 1: At the top of your Internet explorer or web browser there should be a message saying “Pop-up blocked. To see this pop-up or additional options click here…”

Step 2: Click on the message and then click ‘ALWAYS ALLOW POP-UPS FROM THIS SITE’. (see image below)

Follow-up Step: If you still cannot create a new email, try closing and re-opening Internet Explorer and logging-in again.

Outlook 2007+

For Nmap related problems, run these commands in Nmap
nmap -sT -p 443 www.primaryemail.co.uk -P0
nmap -sT -p 135 www.primaryemail.co.uk -P0
nmap -sT -p 1026 www.primaryemail.co.uk -P0

If they fail then your connection is being filtered – in this case you need to speak to your internet provider

How do I export my old mailbox?

If you would like us to export your Outlook Mailbox and/or Calendar, please Contact Us. The charge is £10 per mailbox/calendar and is performed using our remote assistance service.

Alternatively, follow the instructions below if you would like to export your emails before changing to School Email.

Export your old outlook mailbox

  1. Click File
  2. Import and Export
  3. Export to a file
  4. Personal Folder File .pst
  5. select the item you wish to export
  6. click next
  7. Select the location you would like to backup the file to ie c:pstbackup.pst
  8. Click Finish

Import your old outlook mailbox into School Email

  1. Configure outlook to School Email as normal
  2. Click File
  3. Import and Export
  4. Import from another program or file
  5. Personal folder File
  6. browse to the backup file ie c:pstbackup.pst
  7. Click Next, Next, OK

What mobile devices can I connect to School Email?

School Email is compatible with PDAs, Smart Windows Mobile Phones and the iPhone 3G (or any software upgraded iPhone). Any mobile device with Microsoft Outlook compatibility will work with School Email.

Some mobile users may be required to install an SSL certificate, which can be downloaded here


What mobile device do you recommend to connect to School Email?

At School Email we have tested and used a number of Smart Mobile Phones and currently recommend an iOS or Android device. For discounted connection rates and contracts, please contact us.


How can School Email be used in Mobile Learning?

School Email is fully compitable with any Outlook enabled device, including EDAs, PDAs and Ultra-Mobile Laptops (EEE PCs etc). For recommended suppliers of mobile hardware, please contact us.

We helped launch the mobile learning initiative at Wilsden Primary School with EDA devices for all year 4 pupils, which has been received as “a brave, pioneering move on the part of the senior managers and staff as early adopters of ubiquitous ICT access for pupils”. The achievement has been recognised with Wilsden reaching the final of the Hand Held Learning 2008 awards, in the innovation category.


What is a Smart Mobile Phone?

Smart Mobile phone and PDA usage is set to increase drastically over the next 5 years (see the Computer Weekly Article).

Smart Phone is a Mobile Phone with Outlook Compatibility. There is a reasonably comprehensive list of Smart Phone Devices from Microsoft. The best way to purchase a new windows mobile smart phone is to call your mobile phone provider and to request an upgrade to a new handset, when you speak to your provider request a Windows mobile device.

A PDA is similar to a smart phone but does not allow for anywhere/anytime connectivity and will only receive emails while connected to a wireless network. School Email has been used in many Mobile Learning environments where PDAs have been used, this is not recommended for teachers who wish to pick up their email on the room.

What’s the difference between a PDA and a Smart Phone?

A Smart phone is a device that will facilitate a SIM card and connect to a mobile phone network, a mobile phone tariff is required and you will require data services. A smart phone is recommended for Admin/SLT/SMT/Teachers.

A PDA will connect to the internet via a wireless network/Bluetooth/usb only and does not facilitate a SIM card. A PDA is recommended for classroom use.

Does it cost to connect?

You must request a license for this service:

Licenses for Mobile devices are covered in the cost of School Email (Microsoft Exchange Device CAL). However, we must be informed of the quantity change so we can purchase more licenses for the school from Microsoft. This is a legal requirement and you must provide us with the information before configuring a device.


Connect a Smart Mobile Phone

  1. Make sure you phone has the correct date and time
  2. Open activsync by clicking the windows Icon and clicking on the activesync logo or by clicking the windows icon and clicking programs then selecting activsync
  3. Click Menu
  4. Click Configure server
  5. In the server address box type exchange.primaryemail.co.uk [tick for SSL]
  6. Click Next
  7. In the Username box type in your username (note: This is a maximum of 20 characters – ie ooo.Jessica.Greenwood would be ooo.Jessica.Greenwoo)
  8. In the Pass box type in your password
  9. In the Domain box type primaryt
